(“Seminole County Legal Aid,” “SCBALAS,” “we,” “our,” or “us”) operates https://scbalas.com/, provided through HostGator, and related online services, including online forms, event and clinic registrations, our AI-powered informational assistant, Lexi, provided through Jotform and powered by Jotform’s artificial-intelligence provider, OpenAI, and an AI-enabled phone agent provided through 8×8. This Privacy Policy explains how we collect, use, disclose, retain, and protect information obtained through our website and related online, telephone, and AI-assisted services.
Information you provide voluntarily. You may provide information when you complete an online intake or application, submit a Google Form, Microsoft Form, or Jotform, contact us through an online form, register for an event or legal clinic, communicate with Lexi or live chat, send us documents, contact us by email or phone, or interact with our AI phone agent. This information may include your name, email address, telephone number, mailing address, information about your legal issue, documents you choose to submit, and any other information you provide.
Communications, call, and chat information. If you use Lexi, live chat, the AI phone agent, online forms, email, telephone, or other communication tools, we may collect the content of those communications, related timestamps, caller ID or telephone number, routing information, transcripts, summaries, recordings where consent has been obtained, and session information needed to respond, maintain records, monitor quality, and operate the service.
Automatically collected information. When you visit the website, we or our service providers may collect IP address, browser type, device information, operating system, pages viewed, date and time of access, referring website, and similar usage statistics through cookies and similar technologies. We use Google Analytics and similar tools to understand website usage and improve services.
Payment and donation information. If you make a donation or pay a fee online, your payment is processed by our third-party payment processor, Stripe. Payment card and billing information you enter is collected and processed by that provider under its own terms and privacy policy, which you should review before providing payment information. Seminole County Legal Aid uses the information it receives to process and acknowledge your donation or payment, keep records, and meet accounting, audit, and legal obligations.
Sensitive information. Some legal-aid inquiries may involve sensitive personal information. Please do not submit Social Security numbers, driver’s license numbers, financial account numbers, passwords, medical information, or similar confidential identifiers through Lexi or online chat unless specifically requested by an authorized Seminole County Legal Aid representative through an appropriate process.

Lexi is an AI-powered informational assistant designed to provide general information about Seminole County Legal Aid programs, eligibility requirements, services, and community resources. Lexi is provided through Jotform and is powered by Jotform’s artificial-intelligence provider, OpenAI. Lexi provides general informational assistance only and does not provide legal advice. Communications with Lexi do not, by themselves, create an attorney-client relationship. The AI tools used by Seminole County Legal Aid, including Lexi and the 8×8 phone agent, do not determine eligibility or make legal decisions. Those determinations are made by Seminole County Legal Aid staff, and staff may review AI-generated summaries, transcripts, or information before any decision or action is taken.
Conversations with Lexi may be processed, stored, reviewed by authorized personnel, and handled by third-party technology providers acting on our behalf, including Jotform and OpenAI, to operate, maintain, improve, secure, and monitor the assistant and to help respond to your request.
8×8 AI phone agent. Seminole County Legal Aid may use an AI-enabled telephone agent provided through 8×8 to answer or assist with incoming calls, provide general information about Seminole County Legal Aid programs, eligibility requirements, hours, locations, events, referrals, and community resources, route calls, take messages, create call summaries or transcripts, and help staff follow up. The AI phone agent provides general informational assistance only; it does not provide legal advice, determine eligibility, or create an attorney-client relationship.
Information provided to or generated by the AI phone agent may include caller telephone number, call date and time, audio where consent has been obtained, transcript, summary, routing details, voicemail or message content, and information the caller chooses to provide. Seminole County Legal Aid and 8×8 may process, store, review, transmit, and maintain that information on Seminole County Legal Aid’s behalf to operate, maintain, secure, monitor, and improve the phone service and respond to callers.
Lexi online chat. Before a Lexi chat session begins, we present the following notice:
Welcome. I am Lexi, the AI assistant for SCBALAS. By continuing this conversation, you consent to its monitoring, recording, transcription, storage, and review by SCBALAS and its partners. Should you prefer not to, please contact our office by telephone or email. Refer to our Privacy Policy.
8×8 AI phone-agent calls. For AI phone-agent calls handled through 8×8, Seminole County Legal Aid will provide notice before the beginning of the call that the caller is interacting with an AI-enabled phone agent and that the call may be monitored, recorded, transcribed, processed, or stored by Seminole County Legal Aid and 8×8 for service, quality assurance, security, recordkeeping, routing, and follow-up purposes. By continuing with the call after that notice, the caller consents to Seminole County Legal Aid and 8×8 monitoring, recording, transcribing, processing, storing, reviewing, and sharing that communication as described in this Privacy Policy.
If you do not consent to a monitored, recorded, transcribed, or AI-assisted communication, do not continue with that feature after the notice is provided. We use industry standards designed to protect information collected through the website and related services. No method of transmission or electronic storage is completely secure, and we cannot guarantee absolute security.
Depending on the law that applies to your information and our role, you may request to access, correct, delete, or receive a copy of personal information we maintain about you; opt out of non-essential communications; opt out of any sale of personal data or targeted advertising if those practices are ever adopted; and opt out of the collection or processing of sensitive data where applicable.
